Synapse reports on teams, not people. Every team figure is a total over enough people that it can’t describe one person, and nobody (manager, admin or owner) can drill down to an individual. This page covers who sees which team view and the controls under Privacy & Consent at synapse.synheart.ai.

Who sees which team view

AI Effectiveness shows a team view to everyone with a seat, scoped by role. A badge at the top says which scope you’re looking at. A member can’t pick another department or widen the scope. In an organization that has departments, a member who isn’t in one sees a message asking an admin to add them, never organization data. The organization-wide fallback ends as soon as the first department is created. Every view, at every scope, is withheld below the cohort floor, unless everyone on a small team has chosen to share with each other.

The cohort floor

The cohort floor is the fewest contributing people any team figure is shown for. Below it, the figure is withheld with a note saying so (“fewer than F people”), rather than estimated.
  • Default 10. Each organization can set its own floor anywhere from 4 to 50. The organization can’t set it below 4. Only a team whose members all opt in to sharing with each other can see a view below the floor.
  • Who can change it: the organization owner or an organization admin (no seat needed), or a Synapse Admin. Everyone in the organization can see the current value under Privacy & Consent.
  • Lowering it needs an acknowledgment. A lower floor lets smaller groups be shown, so you must read and accept the disclosure before it takes effect. Raising it needs only a confirmation.
  • Every change is audited with the old and new value and whether the disclosure was acknowledged.
  • Fails safe. If the floor can’t be read, team figures are withheld as if it were 50.
The floor applies everywhere a team total appears: AI Effectiveness, departments, trends and comparisons, exports, the weekly digest, alerts and goals, the Agents team totals, AI spend and AI tool usage, and the team tools your AI assistant can call. Even at or above the floor, a figure is withheld when it could be worked out by subtracting one shown total from another.

Team human-state views

Human-state views are team and department totals built from Life by Synheart:
  • the Human State Overview;
  • deep work;
  • human effectiveness and capacity;
  • the AI Effectiveness Index (AEI);
  • AI lift and alignment.
They include only members who have connected Life (under Privacy & Consent → Life Connect) and consented to contribute. These views are on by default. The organization owner or an organization admin (no seat needed), or a Synapse Admin, can turn them off under Privacy & Consent. Turning them back on after that means acknowledging the disclosure again. Every change is audited. Turning them off hides every team and department human-state value, immediately, in AI Effectiveness, departments, exports, digests, alerts and the team tools your AI assistant can call. Cards show that the views are off instead of a value. What stays:
  • work-only metrics;
  • every member’s own My Effectiveness view;
  • the coding-agent guidance each person gets from their own state;
  • Ask and the Agents team totals, which never contain human state.
The setting can only hide data. Turning the views on never shows anything a member hasn’t consented to.

Share my numbers with my team

A team smaller than the cohort floor normally sees nothing. Share my numbers with my team, under Privacy & Consent, lets a small team see its own team view, if everyone on it agrees.
  • Everyone must opt in. The team view is shown only while every current member has opted in. Until then nothing about the team is shown below the floor. When someone new joins, the view is withheld until they opt in too.
  • Your team is your department, or the whole organization when it has no departments. Moving to another department ends your old choice.
  • Each person decides for themselves. Nobody can opt anyone else in: not a manager, admin or owner. There are no reminders or nudges.
  • One click to stop. Opting out takes effect at once, needs no reason, and works even without a seat.
  • Who sees it. A shared view is shown to exactly the people who would see that team at the floor: the team’s own members and those who see the whole organization. It shows exactly what a team at the floor would show. Human state still includes only members who consented to it, and the team human-state setting still applies.
  • Who knows who opted in. Members of the team see which teammates have opted in. Everyone outside the team, including leads, admins and owners, sees only Shared by all N members or Not shared: not every member has opted in. They never see names or a count of who hasn’t opted in.
In a team of one, the team view is that person’s own numbers. Only that person can choose to share them. The organization switch. Team sharing is available by default. The organization owner or an organization admin, or a Synapse Admin, can turn it off for the whole organization. Turning it off withholds every shared view immediately and keeps everyone’s choices, so turning it back on (after acknowledging the disclosure) restores the views whose members are all still opted in. The switch opts nobody in and gives nobody extra access.
Opting out stops future sharing only. Numbers already sent in an export, export webhook, digest or alert can’t be recalled. Everything produced after you opt out, including the next scheduled export, leaves your team out.
When you opt out, your choice is deleted at once. Synapse keeps an audit record of each opt-in and opt-out as proof of consent. That record is never shown in the organization’s audit log.

Synaptic Mesh

The Synaptic Mesh maps your organization’s knowledge and work. Human state appears only on your own nodes, for every role. A teammate’s node never carries their human state, whoever is looking. Team human state stays in team totals above the cohort floor.

Erasing data

Erasure is a data right, not a paid feature. It works without a Synapse seat and after the organization’s subscription has lapsed. Your own data. Any member of the organization, with or without a seat, can erase their own Synapse data from Privacy & Consent → Erase my data. This includes decision records, agent rule counts and team-sharing choices. Members without a seat find the same option on the screen that says Synapse isn’t available to them. It erases only your own data. The whole organization. Only the organization owner can erase all of the organization’s Synapse data. It’s under Privacy & Consent and Organization settings, which an owner can reach without a seat. To confirm, the owner types the organization’s slug (or name, when it has no slug). The request names the organization explicitly and is refused for any other. It can’t be undone, and every erase is recorded in the audit log.

Who can change what

Being able to change a setting doesn’t let anyone see the team views. What each person sees comes from their seat’s role, as described above, for organization admins too.
